Enhancements:
New Modules Added
Imaging
When you are on the Patient Selection Screen you can
press the button
You are led to the Imaging main menu. The
imaging module remains resident in the Windows Tray with
this icon .
This allows you to pop it up at will, and select a
different patient for images and memos. Or close
down the module and access it from within the patient
selection screen as described above.

You can Add a new memo field, which is a 6000 character
field to paste or type notes, letters etc. In
other words store text documents. Each
memo and image is given a subject to allow searching by
keywords. The other major feature is the
ablity to scan, recall, view and print images.
To add a new memo click the
button. You will
see

Start by entering a subject describing what this note
or image is about. Then click on the Memo Tab

You just free type the memo , or paste a document from
another source.
To add a new IMAGE click the
button.
Start by entering a subject describing what this image
is referring to. Press the
button. Your
scanner should start operating and scan that page.
In future versions you will have multipage capablilty.
Once the Image has been scanned, it will appear in the
image body.

You will also note at the bottom of the screen is

This shows the default storage location of the image.
IMPORTANT NOTES: When an image is stored it is
stored in windows bitmap (bmp) format. It is
actually stored in the RxDME2000 datafile as well as on a
disk file. You can remove the disk files to save
space if you wish and the images will remain in your
database for retreival. This also holds true for
files imported as Jpg, Gif and PCX images.
Other types of images such as adobe pdf docs can be
attached to the patient document image file but the
original must remain in your system.
Additional Functions in Image Module;
1. Setting a default image folder, from the main menu
of the Image module select Tools. Here you can
create a location for your images to be placed by default.
2. Buttons on the main menu of Image
You will need
to click the refresh button for the highlighted browse
item.
These are the Zoom
buttons to bring an image in closer or make smaller on the
Image main menu. If you want to see the image using
a higher quality viewer click the Viewer App button
This button
triggers the Windows Image view for this specific type of
document. For example if the file is a scanned bmp,
you will get the windows Image Viewer. If the image
is a pdf file you will get the adobe reader. You can
then print, zoom, edit images.
The View Memo
allows you to see but not change a memo. Note you
can have both a memo and an image in the same record!
This button allows
you to pick a new patient from the Customer list.
Add a new
memo or scan a new image or select a new image for
storage.
Auto reconcile
A long awaited update for Reconcile, version 2.14
brings the ability to extract ERN (electronic remitannce
data) from Medicare and import it against your Reconcile
Claim file to apply payments, identify problems etc.
The first step is to idenify if PCSolutions is
currently sending you ERN's via email. If not
contact our office to sign the Medicare ERN addendum.
A few weeks later Medicare will start sending the ERN
data. Once the ERNs are comming into our
system you would go to the Reconcile module.
Click Auto Reconcile on the Reconcile main menu.
The menu appears, your choices are

click on ERN Menu, then select one of the following
options.

View Ern History gives you a listing of all claims by
Check date. You are allowed to do queries, this is
an excellent way to see where the money is quickly.
To Start the download click Export Data by Range of
Check dates. You may also want to preview the
Download History listing to see when you last took data
and the check dates.
If you selected Export Data by Range of Check dates you
will see..

Enter the range of Check dates in the format MM/DD/YYYY
use the / slashes, Click
button.

Click Ok and your Browser download window will appear,
save the file to your desktop or another location where
you can find the file.

Click your ERN data download program by clicking on the
and then click the
until you are returned
to our home page.
Once you are back in the Reconcile click
you will be presented
with the file selection screen.

This screen saves the last known filename (the download
files name is always the same) and location. you can
press the to accept or
press to open a file
dialog box to look for the file. Click
to proceed.
Next View the data downloaded by clicking on the Auto
Reconcile menu selection Review Downloaded ERN file.
You will see the following table.

here you can review the actual data sent from the payor.
We have also provided a way of marking or tagging the
records, in case you want to 'check' off as you
review them. See the tagging buttons at the bottom
of the screen.
Once you have reviewed and approved of the file to be
imported, you will click Accept Download and Process ERN
data from the Auto Reconcile Menu. You will see this
warning. and at
this point it is our recommendation that if you have not
backed up your datafiles within the last day, now is the
time to start and Backup!
You are presented with the following screen;

You can set several 'options' which are remembered for
the next run.. they are;
Would you like Reconcile Module to Tag or Select claims
for batch printing of secondary 1500 forms, Unless the
claim has been forwarded to secondary by Payor?
If the claim is not paid mark it as a problem claim on
the Problem claim table? When you are satisfied by
your choices click to
start the import process. If you have previously
imported this check date you will be notified and the
process will force you to stop and pick a different date
range for import.
As the processing completes you are prompted to select
your printer and the report is displayed on screen.

You are given an option to remove the temporary file,
making a backup of it,, No is correct because you can
always download it again.

The standard answer to the 'Revert Claim File and ERN
Data' is 
You are given the opportunity to revert the changes
auto reconcile has made to the claim file and sub files.
This is a last resort, we suggest if you use this option
contact
support@dmefree.com to have us review the changes to
your system.

Your job now is to review the Auto Reconcile report
LINE BY LINE, you can use the View ERN master file of imported claims
from the Autoreconcile menu. And Check off or Tag
the claims you reviewed.
Webview
The Webview module allows Sales reps or Delivery
persons who are on the road to access/view the patients
demographic and claim records. They can look
but not modify online. This is an internet
application.
Eligibility Module

VERSION 2.07-2.12
This series of updates were comprised mostly of
fixes and user requests.
VERSION 2.07
Enhancements:
1. Sale or Rent Status can be automatically set based
on the type of item. The rental info tab in the item
file allows you to select if the item is available for
SALE / RENT or BOTH. In order to make this function
you must turn on an option switch in the company
configuration (FILE, SETUP MENU, STORE FILE) (store file)
labeled: "Use settings in the Item file Rental Tab ..."
This option is found on the Item file Tab in the company
configuration screen.
2. Also related to the Item file is another option
switch in the Company configuration screen (FILE, SETUP
MENU, STORE FILE) that brings up messages for NEW claims
only. As reminders to complete basic rental info
(Billing cycle, month#) on the Claim entry Cont. tab
during claim entry. This option switch also controls a
reminder that the item is a capped rental item and special
modifiers must be applied.
3. In the patient record another button has been added
to allow the user to set Claim defaults specific for this
patient. The defaults are Place of Service (POS),
Type of service and a switch to force the system to Not
put the claim in the billing file. The reason for
this latter option would be if you had a client that was
cash you wouldn't want each transaction to put
automatically posted to the billing file, that would mess
up your electronic claims. This switch
overrides any global settings set in the Company
configuration.
4. Secondary 1500 forms (printed from DME module)
give you an option to print or not print Item
descriptions.
5. On the AR single statement (in the DME module)
a simple message can be added at runtime. The message is
not saved.
6. Modifiers and Sale/Rent status have been added
to the Autofill function.
7. When you print a secondary 1500 form (in the
DME module only) the software will record the date of
billing in the 'Claim Tracking system' found on the
billing menu.
Fixes:
a. Diagnosis codes can be looked up several
ways now, the old and new way see below.
VERSION 2.06
Enhancements:
1. none
Fixes:
a. Fixed (or attempted to fix) Diagnosis system (see
version 2.07)
b. Patient fields pertaining to Box 9 and 11 on a 1500
form allowed you to put the patients and/or responsible
persons sex. Prior versions had a situation where
patient couldn't be unchecked, this has been resolved by
changing these MF check boxes to MF pull down fields.
c. Several states were missing from the Medicare HCPCS
file including VA, PR this has been resolved
d. Claim transaction lines 2 or 3 had totaling problems
this has been resolved.
VERSION 2.05
Enhancements:
1. The number of days a claim can be renewed by has
been increased from a two character field to a three
character field (example 180)
2. Audit report can now be printed by plan type i.e.
MEDICARE, MEDICAID, COMMERCIAL
3. Option added to Company configuration (FILE, SETUP
MENU , STORE FILE) on the Clearinghouse tab to force the
Transmit flag to be N for a New or Change claim
transaction. This is helpful for the clients using
adjudication system and clients that don't want their
claims added to the billing file automatically.
4. Option added to Company configuration (FILE, SETUP
MENU , STORE FILE) on the Clearinghouse tab to turn on a
message showing how many claims are waiting in the billing
file, on program startup. This is very useful so a
user will not forget to clear the billing file or send the
claims in the billing file
5. Diagnosis file and Item file items can be
looked up directly by code without having to bring up the
browse boxes. Either enter a few letters of the
description for an alpha lookup or enter a * (asterisk)
and the code for lookup by code. Example *250 will
bring up all diags starting with 250
6. We have had a transmission tracking system on
the billing menu for quite some time, this function
allowed you to put in the 'status log number' and follow
the transmission from onset thru dmerc report. We
have now added additional tracking down to the claim
level. You will be able to identify when the claim
was transmitted and if both the primary or secondary
claims have been billed.
7. A yes/no option box has been added to the patients
record to set the assignment for all claims for this
specific patient. Example Mrs. Smith you set for Yes
so every claim you do the assignment is set to yes, Mrs.
Jones is set to No because you don't take assignment from
her and all of her claims will default to N assignment.
This default can be overridden on a per claim basis.
8. A function for patients alternate address (for
snow birds) was created. While designing this
feature we also added places for Emergency address,
Guarantor, etc. There are a series of buttons on the right
side of the patient record to enter these screens.
9. As of version 2.05 the quarterly DMEPOS allowable
update has become a no charge service
10. In reconcile, added a way to flag "problem" claims
using a tagging system. No reports have been created
however you can quickly look at the "problem claims"
Fixes:
a. Patient notes report had Date/Time added.
b. Billing cycle lookup has been made functional
c. File manager has been modified to allow easier
re indexing of the master files (patients, transactions
etc)
VERSION 2.04
Enhancements:
1. Added immediate print AR statement to the AR
inquiry function in DME module.
2. Added a one patient reconcile report button
in the View claims function in DME module. Useful
when a patient comes in and needs insurance report
3. Option added in the Company configuration
screen (FILE, SETUP MENU , STORE FILE) to allow individual
workstation's) to shut off the daily backup request.
This comes in handy because the in a multi-user system the
server which contains the programs/data files gets backed
up nightly , thus each workstation doesn't need to be
asked upon program exit.
4. A warning message, if you attempt to
transmit without having run the 'prepare' claims
during the same day. This helps prevent sending
duplicate claims i.e. 'forgot to prepare'.
5. Upload claims to DMEFree secure website
directly from within RxDME2000.
Fixes:
a. CMN prompt screen was not appearing after claim was
saved, now works.
b. Claimstatus fields have been modified to allow a
pull down for quick selection, but retain ability to enter
any test user would like.

DME Module: Major Release!
Evolutionary with a little Revolutionary....
1. There were many cosmetic changes to the RxDME2000
system specifically in the
area of data entry. We are still retaining the
Multi-form entry system but this is the
new Single Screen entry system.

using the 1500 form metaphor, you enter the dates of
service, place of service, qty and then item, the pricing
and primary modifiers are automatically displayed. You
can look items up by description or by procedure code (at
bottom)
There are Quick entry keys that will be expanded upon
in the next interim release.
2. Online Adjudication is one of two methods of
electronic billing offered. Instead of listing all the
features and functions this topic will be made into a
training video.
3. Cash Sale screen now resembles a POS terminal and
can use a cash drawer as well. All functions are
protected by the security system to 'lock out' specific
users from specific abilities or functions.
To start the sale
you click on the 'Cash Register'

you can then use either the mouse, short cut keys,
keyboard or all 3 to save time.

The POS screen calculates the tax, allows the user to
select a payment method and pop the drawer if needed.
Invoice printing occurs when the screen clears.
4. Batch Module Version 2.0
Batch module has been modified to allow Online
Adjudication to occur in a Batch Renewal method. The
claims are processed on Online Plan at a time. Claims
that are not using Online plans are billed as in previous
versions. Online claims are not processed in the
maintenance portion of batch as of yet.
5. Reconcile Module Version 2.0
No changes were made to this system, just a version
number change to keep it compatible with other 2.0 modules
6. AR Module Version 2.0
The AR system had an open credit function that was
misunderstood by many, including PC Solutions. It appeared
that when a payment was made that was in excess of the
invoice being paid an open credit would appear. That was
fine but the AR system never had a way to use the credit.
In Version 2.0 if a payment amount exceeds the invoice
amount (or using Auto Apply Several invoices) then a open
credit is automatically created with an invoice# of
999999. When the patient buys more products and sends you
the next check , as you apply payment you will see the
following box;

If there is more than one credit you can select the
specific credit amount to apply.

In this example there is a payment (credit ) of $153.00
which can be applied against the $300.00 Invoice. If the
payment still exceeded the Invoice an other credit would
be generated by clicking the 'create a open credit
button'.

RxDME2000 PATCH UPDATE VERSION 1.007.4
Released on 11/01/2001
DME Module:
1. Fixed Auto update Wizards to work.
2. Added New reporting tool, to
organize by Module and Category the reports in the DME
system. This is a work in progress and you should find it
very helpful for finding reports.
The tool downloads from the website a
new copy of available reports each time (at your option)
you use it. Once downloaded, you select a report, if the
report is not in your system, it will be downloaded from
the site. This method allows us to continuously add
reports to the system and you will have an updated listing
of reports each time you use it.
Many of the daily reports that are found
on the programs menus will also be found in the Reporting
tool, but the reporting tool will initially contain
reports that are not on the general menu system.

You will notice a column called Reports
Downloaded (right hand column) if there is a check mark
then you have the report in your system , otherwise you
would download it. It is often a good idea to download it
each time to make sure your using the 'latest' version of
the report.
3. Fix when changing a transaction, the
highlighted scroll bar will return to the most recent
transaction i.e. the one you just changed. This
eliminates having to find it again.
4. In the 'AutoFill' function we are
passing the allowables to the transaction along with the
other speedy information. See previous version 1.0073 for
information on 'Auto fill'.
5. Enhancement- In the item file there
has always been a button one for approved diagnosis and
now there is one for Approved plans. What these buttons
allow you to do is specify by item what plans they are
covered for and for what specific diagnosis. During claim
entry you can either press a button to have the system
check the current item for coverage or if you have turned
on the 'Check Coverage' options in the Store file, they
will be checked automatically when you press OK.
You will see several messages like:

This is a very powerful feature that
could save you lots of rejections, so consider using it.
The setup of the 'Coverage' system is
controlled AT EACH WORKSTATION i.e., some workstations use
it and some don't as setup in the 'store' file. see below
image.

6. Enhancement- Each Table (Patients,
Doctors etc) has a search function. We have added a
simple report to allow you to print the search results.
7. In the Display Item file table
there are three new columns; Alert, Image & Notes there
are icons that appear to let you know there are Alerts
Image
or Notes (a checkbox). Also during transaction entry a
button will appear for Alerts
or Images
.
8. SECURITY UPDATE - In this version
to comply with the need for total employee control (HIPPA)
we have implemented the security system through all
modules. (except IC) This means the supervisor can
control access to menus , modules and features within
reconcile, AR and Batch as well as DME module. HIPPA says
only an owner & AR clerk can access AR info, not the stock
person. If you need assistance in using the security

9. Fix- When using the renewal
button, it has been asked to not change the Claim status
from File to
Bld for a rental , this has also been modified in the
batch modules as well. it does not affect the ability to
renew claims.
10. Buttons have been added to the
2ndy Insurance tab and Responsible tab in the patients
record to allow the ability to copy data from the Patient
to the Responsible tab and from the Electronic secondary
to the Paper secondary tab.
11. When you set the Plan type in the
insurance file to Commercial or Medicaid the Claim type is
automatically set for N instead of the D default. This
change allows our clearinghouse to separate the Commercial
and Medicaid claims for electronic transmission.
12. During claim entry you can apply
an advance payment (box 29 on 1500 form) and further bill
it to the patients AR account.
We
have created a description window
to allow the user
the ability to specify what the payment is for and
additionally created buttons to auto apply several
statements "Copay for:" & "Advance Payment for:" to speed
processing.
13. Redesigned the Reports, Print forms in Billing
file and Print forms for range of dates/Insurance plans.
The change was made to allow the Medicaid forms to be
'batched' as well as the ability to add 'Custom' forms or
reports.

14. Added an Amount Paid and Balance due to Claim
transaction window. (Note the amount paid is = to the paid
in advance field, doesn't have anything to do with the
reconcile module)

15. AR - Accounts Receivable Module Updates 1.0074
The biggest problem with AR has been the users
interpretation of which dates are used where. For example;
some users feel that a copay should be aged based on the
original entry date , some by the Date of service and some
by the date the copay was applied to the patients AR
(charge) account. And to further complicate the issue the
dates from the basic Charges from the DME to the patients
AR account have been in question. So... here is what we
did. Read Carefully. In the 'Store file' there are some
choices the user can control as follows;
of course if you don't
have the AR module you wont see these choices. Once you
make these choices the system will use the selected date
scheme from that day forward. We cannot go back and
change previous dates or charges. Here is the breakdown;
NOTE: IF YOU HAVE A NETWORK AND HAVE MULTIPLE USERS
POSTING CHARGES TO THE AR SYSTEM EACH WORKSTATION MUST BE
SET INDIVIDUALLY.
To control How the DME system sends dates over to the
AR system for an AR charge or Copay charge (Advance pay
button). Select from options;
- Use the Entry date for both the AR invoice and
detail
- Use the Date of service (line 1) for both the AR
invoice and detail or
- Use Entry date for Invoice and Date of service for
detail line. (as it is now)
To control How the Reconcile system sends dates over to
the AR system for a Reconcile copay charge. Select from
the options:
- Use Claim entry date
- Use Claim Date of service
- Use today's date (as it is now)
16. An AR history report has been added to the Inquiry
menu AR history to allow you to print out a complete
history of AR charge transactions and payments.
17. REC Reconcile Module 1.0074 - Added a Generic
Purge routine to allow user to remove 'dead wood' or old
claims for a range of dates. The purge doesn't care if
the claims is open/closed/paid or unpaid, it just removes
the claim. This procedure is handy for a company that
wants to 'start from scratch' in claim tracking.
18. In Quick reconcile, new Calendar buttons have been
added you will see them as ... (for
lookup)
19. Batch Rental Renewal Module 1.0074 - When the
module updates a rental it leaves the claim status as FILE
this allows the user to rebill a claim without having to
change or loose a Claim status. It does not affect the
use of the rental renewal system.
20. Batch Rental Renewal Module 1.0074 - 10TH month
letter now only prints for active patients.
21. IMPORTANT CHANGE - Batch Rental Renewal Module
1.0074
One of the complaints we have been receiving is how
many days the batch module increases the dates of service
for the renewal. To resolve this we have placed the
burden of this calculation on the end user, you. See
below image....

You enter your initials, the billing cycle.
The field "Enter Entry Date for Claims" means what date
do you want in box 31 of a 1500 form i.e. the date of
creation. Typically the date you are running the batch
process
The fields "For the Dates of Service From/To" are the
dates of service the claims are CURRENTLY at before they
are updated. Typically last months dates ex: 10/01/01 to
10/31/01
The NEW FIELD "Enter the number of days to Increase the
Dates of Service by" is the important new field that
allows you to control how many days to increment the
rental date of service.
Be careful with this new feature and done forget to
backup Prior to running your batch renewal process.

RxDME2000 PATCH UPDATE VERSION 1.007.3

Date range filters now work on the build history file.

2. All auto update modules have been
brought up to the new powerupdate version 2.0
Enhancements:
1. When software expires you are now
allowed continued access to your data. The terms of PC
Solutions license agreement specify that all users must
have a current paid account in order to use the software
for billing and claims entry. It was felt that its your
data and you should be able to view it, but without an
active relationship with PCSolutions we cannot allow users
to bill claims.
2. A transmission tracking system has
been added to the bottom of the Billing menu. Every time
you run the Prepare claims option an entry is made into a
history file. The tracking system lets you enter
additional information about the transmission. For
example, if your using PCSolutions clearinghouse services
you can record the Log# and date transmitted. Once the
Feedback reports come back this can be recorded as well.
This function will help you remember if the transmissions
were followed up with reports to ensure no claims get
lost. So use it, it will help you!
RxDME2000 PATCH UPDATE VERSION 1.007.2

Fix's:
1. Oxygen CMN (plain paper version) now
is called correctly from Print O2 CMN Button
2. Initial, Revised and Recert dates on
O2 CMN has been fixed
3. Whenever a claim is changed in the
DME system, it tries to update the record over in the
reconcile system. For example if the DME side had been
billed and incorrect dollar amount then upon changing this
in the DME system it is reflected in the Reconcile
system. Although a good idea, created several problems.
So the following is what the system will or will not do;
a. Reconcile system is updated
to match DME system if claim does not have a payment
associated with it.
b. A warning is issued if user
attempts to change a claim in the DME system, if the claim
either has a payment or has been closed out. The
reconcile record will not be updated, the user will be
prompted to either cancel (not change) the claim on the
DME side or to change it on the DME side (it will still
not be updated in reconcile).
Enhancements
1. For additional convenience we have
added a button to each Print CMN window, to print the
Adobe PDF document for each CMN. This can be used to
'pre-print' the 2nd page of the CMN for inserting into the
printer. You can also use this function to print or fax a
'blank' CMN to the physician.
2. The Auto Update system for program
updates has been expanded to allow the user to either
check for updates now, or to enter a specific number of
days to be reminded to check for updates. If the user
enters 0 in the number of days, the system defaults to
checking in 30 days.
3. The History Update procedure window
was originally posted from the 28th of the month till the
end of the month. The window now prompts only once a
month.
4. The information in the Facility file
is automatically carried into the patients facility fields
to eliminate duplicate efforts.
5. The Auto Print function (ability to
print a document with every transactions) has been
expanded to accommodate two forms. User will be prompted
for 'First Form' or 'Second form', both forms or none to
print. The reports or forms must be in a 'custom' library
and the names are AUTO PRINT and AUTOPRINT2
6. Finally a true 4th modifier has been
added to be used throughout the system. No more
'squeezing' fields together
RxDME2000 PATCH UPDATE VERSION 1.007.1

1. SECURITY SYSTEM ADDED PLEASE READ
Our customers have asked and asked for a simple
security system, to satisfy the accreditors etc., here it
is.
The first time the program is run you will be asked
to add the first user. A User's information is made up of
a First Name, Last Name and Login code.

When you add a user the password is automatically
set to be the same as the Login code. After you have
finished entering the first user, then you can use the
Login code, and Password (which will be the same at this
point) to log
in.
After you have logged in you can add
more users using the Browse Users on the Users menu and
you can change your own password using the Change Password
item you added. The first password entered is generally
the Administrator.
It's unlikely that you'll limit your access control
features to just a login. You'll also want to be able to
control who goes where, and does what. More on that in a
moment.
The basis of Access Control is the concept of each user
having their own Login and Password. In it's most basic
form our security allows you to protect the program simply
by requiring a valid Login and Password before it will
run.
Lost a password? The password
itself is not available to either the programmer, or any
other user in the system, it would constitute a major
security flaw for one user to be able to find out the
password for another user. If the password can't be
remembered, then the user will have to be deleted and
re-added. (Tip : You can use User Groups to handle folk
who are continually forgetting passwords.
When a user logs in they can be classified into one of
3 possible Levels. the level with all the power is
called a Supervisor. The Level with no power (in
fact they will be denied access) is called No Access.
In between, where a user has potentially limited power,
they are allocated a Level called Operator. The
difference between a Supervisor, and an Operator is
obviously a significant one. Simply put, a Supervisor is
allowed to change the security access rights of other
Users. An Operator can not change either their own, or
anyone else's, Access rights.
Operator Browse and Form Screens
The Operator Browse and Form screens are used to
manage the user list for the program. They're also
able to group users together (into User Groups) Any
Supervisor can add new Users using these built-in
Operator Browse and Form Screens. On the Form are the
following fields;
First name & Last name : These apply obviously to
the operator.
Login : This is the Login Code the user will use to
identify himself to the system. Note that the
supervisor cannot set the password for the user. The
password will default to be the same as the Login
Code, after that only the user can change it.
Level : Set the User to be either another
Supervisor, and Operator, or a User with No Access to
this Area.
Default Access : If the User is an Operator, then
you can set their Default Access. this is typically
either All Access, or No Access, but it can also be
set to the Login code of another Operator. In that
case the new operator will assume all the current
Screen Security settings of the selected Default
Access operator.
User Group : If the User is an Operator, then he
can belong to a pre-defined User Group.
Workgroup : You can assign a Workgroup number to
the user.
Set Access Rights Screen
While the
Operator Browse and Form screens
screen lets you set access rights to the whole
program, The Set Access screen allows the end user to
limit access to specific functions, and windows within
the application.
The main goal here is simplicity. To this end we
have avoided the use of complicated windows which
allow you to set multiple settings at the same time.
In order to set security rights the end-user must
be logged in as a supervisor.
By going to any window pressing a special key
combination, they will get the Set Access window. This
window will have a list of the Operators on one side
(Users with No Access, and Supervisors are not
listed). User Groups will also be listed, and users
already assigned to groups are not listed.
The list takes the form of a spreadsheet, with the
names on the left, and the access rights on the right.
By simply double-clicking on the displayed rights,
access can be changed from Yes to No. Closing the
screen is done by clicking on the Close button.
So if you wish to stop users Deleting his
Customers, then simply by going to the Customer
Browse, and pressing special key combination, they can
limit the access to the Delete button.
The supervisor or business owner must call, fax, or
email our support desk for the ‘key combination ‘ to
allow this feature.
User Groups
If you have a large number of users then it may not
be convenient to set the access rights for all the
users individually. In this case you can create groups
of users, cunningly called User Groups.
To create a User Group use
the
\l "OprtatorBrowseandFormScreens"
screen, and User Group Details button.
To put users into groups use the Operator's Form. A
List of User Groups is provided in the drop down list
box that is provided. Not that this list box will only
be available if the User is set to be an Operator.
Setting the rights for a Group is exactly the same as
setting for an individual. Simply use the
\l "SetAccessRightsScreen"
screen while the program is running.
2. NEW INFORMATION ON OUR Help system,
The help system
was created in such a way as to allow the END USER not PC
Solutions to create custom help messages for it’s
employees. If you intend to maintain your own help system
you need to be responsible for a file called EZHELP.EZH.
Before applying updates you should have a backup of this
file, generally we do not ship a new version but you
should always have a backup before doing ANY updates.
To get to the first screen press Alt-E (for Edit) while
viewing a tip. You will see a regular looking memo box
which contains the tip for the text. For those users not
interested in modifying the help system, we will
occasionally post a new help file with additions and
changes on our web site.
3. NEW CMN’S ADDED TO SYSTEM
Several users have noticed that our CMN’s could be
’more complient’ to medicare rules. We have acheived
this goal by making a new type of CMN for the system.
a. First we have not modified the current CMN’s and
they use the same buttons as before.
b. Using the 2nd button when printing CMN’s PLAIN
PAPER we will now print the exact image of the CMN
right out of the online manual (originally in PDF
format). And we will place the data onto this form.
c. The Narrative portions of these forms will meet
Medicares rules completely.

1. Where do we buy these forms;
A. You can buy the Backer side ie side 2 of the CMN,
preprinted from our regular forms company.
2. Can I use a dot matrix printer?
A. No, only a laser printer can produce these types
of graphics.
3. Do I have to buy the Backers from a forms
company?
A. No, we have supplied with this update the actual
Adobe PDF files from the DMERC you can print out the
Backer side on white paper and put those into the
laser printer for the software to print side one.
4. AutoMail system Added.
Our goal is
to move more and more into an online software program.
We are mail order company today and hope to be an
Internet/Email operation soon. Many of you currently
user our Email button to send support questions etc.
We are also building our claims processing business
to assist our customers electronically send as many
claims as possible for the fastest payments.
Clearinghouse users can now send claims either via
modem / telephone, or as we prefer via Email. We have
added a little program to automatically pick up the
claim files and Email them to our processing center.

5. Free Messaging Module and Free Remote Control Module
Both programs
are shipped with our update but are non-supported freeware

6. Fixes in Version 1.007.1 DME Module only;
a. When you
select ‘Check for Updates’ and pick the DME Update the
system will ask if you wish to check All the Modules or
just the DME module. If you pick All then only the modules
you are licensed to use will be updated or checked.
b. The problem with claim records getting duplicated
in Reconcile, during changes has been fixed. If you have
added a transaction to the system and then later enter the
claim as a change, and you add a line to a previously
‘empty’ line. the system will prompt you to post this
entry over to reconcile, typically you would answer Yes

i. There is a new file called AUTOFILL file , here you can
create a transaction and have it auto filled onto any

Store configuration file to allow you to print a custom
invoice , report, label what ever every time you complete

'tag' driven AR system, that had been designed by one of

Quick Start for Accounts Receivable 1.005
SETUP
Store Information
To setup the store information in Accounts Receivable,
click on Maintenance, click on System Information, click
on General Information. Complete the screen with the
appropriate information.
Finance Charges
To setup Finance Charges, click on Maintenance, click on
System Information, click on System Information.
DAILY
ENTERING PAYMENTS
To enter payments, click on Daily, click on Payment. The
Payment Entry Form Table is displayed.
The Payment Entry Form is used to apply payments to
customer accounts. When operating in balance forward mode,
payments are applied directly against the customer
account. In open item mode, payments are applied against
open orders (invoices).
Customer Enter the customer number identifying the
customer account that the transactions being
entered are to apply to. The customer name is
displayed for verification purposes. If the
customer number entered is not on file or no
customer is entered, the Customer Lookup Table
is displayed for customer selection.
Select a customer by clicking on that customer.
Payment Code Payment Code is the item number from the
service master that identifies the type of
payment being applied. Examples of payment codes might be:
CASH Payment by Cash
CHECK Payment by Check
MONEY Payment by Money Order MCARD Payment by MasterCard
VISA Payment by Visa
If the payment code entered is invalid or no payment code
is
entered, the Payment Service Lookup table is
displayed.
Payment Date Enter the transaction Date.
Description This field is used to enter the description of
the
transaction. The description defaults to the description
from the Transaction but can be
changed if desired.
Payment Amount Enter the amount of the payment. Do Not use
the
minus entry for normal payments. Only for
payment reversals. The system will handle the
sign for normal payments.
Discount Amount Enter the payment discount if any. Signs
are
handled in the same way as payments.
Reference is a free form field used to enter a
check number, comment, or the like.
The Apply Open Item Payment Table is displayed listing the
open orders for this customer.
This table allows you to apply a payment to one or more
customer orders.
Apply Open Item Payment Table
The Payment Order Selection Table displays the original
payment and discount amounts and the remaining
(undistributed) payment and discount amounts.
To apply a portion of the payment to a specific order,
click on the order desired .
The Order Payment Entry Form is displayed.
The customer Number, order number, and order balance are
displayed for your information.
Payment Amount Enter the portion of the payment that is to
be
applied to this order.
Discount Amount Enter the portion of the discount that is
to be
applied to this order.
Posting Detail
Posting Detail prints a listing of the days transactions
in General Ledger account number sequence, sub totaling by
account. A summary entry is written the posting summary
file.
Transaction Logs
Transaction Logs list the days transactions in customer
sequence.
Print Deposit Slip
Print Deposit Slip lists the payment transactions for the
day showing payment amount and payer.
End of Day
End of Day processing clears the temporary files and
prepares the system for the next processing.
END OF MONTH
A/R Aging Report
The A/R Aging Report lists all accounts with balances due
sequenced by number of statements unanswered with totals
for each category.
Customer Statements
Print Statements reads the customer file and generates
follow up statements for all accounts due based on the
next statement date on the account. Statements are printed
for all accounts whose next statement date is equal to or
prior to the current processing date.
Backup Data Files or System
Clear Monthly Accumulators
Clear Monthly Accumulators zeros the month to date
accumulators in all applicable files. The user is asked if
this is year end and, if so, the year to date accumulators
are also zeroed.
Purge Zero Accounts
Purge Zero Accounts deletes order and transaction detail
for all zero balance orders that have passed the zero
suspense period.

option. PCSolutions can process claims for you via our own
clearinghouse. DMERC's, some Medicaid's and Commercial

between PCSolutions Clearinghouse, Mede America
Clearinghouse or PCSolutions direct module or a
